YOU
We're looking for an Auckland-based Finance Administrator & Operations Coordinator to join a growing creative agency on a six-month fixed-term contract. Bringing experience across finance administration, accounts support, bookkeeping, payroll, office management or operations, you'll become a trusted part of the team and the person people rely on to keep things running smoothly behind the scenes.
Working approximately 20 hours per week, there is flexibility around how those hours are structured. While initially a six-month contract, there is potential for the role to become permanent. Working closely with agency leadership and the wider team, you'll play a key role in supporting the day-to-day financial and operational functions of the business, helping ensure everything stays organised, accurate and on track as the agency continues to grow.
You'll be comfortable working with invoices, budgets, supplier costs, payroll information and contracts, with the confidence to manage recurring deadlines and keep multiple moving parts on track. You'll enjoy creating structure, maintaining accurate records and making sure nothing falls through the cracks.
Day to day, you'll coordinate monthly client invoicing, support bookkeeping and financial administration, monitor project budgets and supplier costs, and ensure financial information is accurate and up to date. You'll also help manage payroll administration, employee records, contracts and HR documentation, ensuring everything is completed accurately and filed correctly.
You'll be someone who follows things through. If information is missing, an invoice hasn't arrived or paperwork is outstanding, you'll proactively chase it up and keep things moving.
We're also looking for someone who enjoys improving the way things are done. You'll identify opportunities to streamline processes, develop templates and checklists, and help create practical systems that make life easier for the wider team.
Experience with Xero or similar accounting software would be highly beneficial, as would previous experience within a creative or media agency, marketing or service based environment.
This role would suit someone who enjoys being the person others rely on to keep things organised, accurate and running efficiently.
